Anti-Spam Policy

Movement Atlas ("we", "us", "our") is committed to responsible email communication practices. We do not send spam, and we do not tolerate spam sent through our platform. This Anti-Spam Policy explains our email practices, compliance with applicable anti-spam laws, and how we protect our users from unwanted communications.

Applicable Laws

Movement Atlas complies with the following anti-spam and email marketing laws:

  • CAN-SPAM Act (United States): The Controlling the Assault of Non-Solicited Pornography And Marketing Act of 2003, enforced by the Federal Trade Commission (FTC).
  • GDPR (European Union): The General Data Protection Regulation, which requires prior consent for marketing communications.
  • CASL (Canada): Canada's Anti-Spam Legislation, which requires express or implied consent before sending commercial electronic messages.
  • PECR (United Kingdom): The Privacy and Electronic Communications Regulations.
  • Spam Act 2003 (Australia): Australian anti-spam legislation requiring consent, identification, and unsubscribe facilities.
  • IT Act 2000 (India): Information Technology Act and related rules governing electronic communications.
  • SendGrid Acceptable Use Policy: We adhere to all Twilio SendGrid policies governing the use of their email delivery service.

Our Email Practices

Types of Email We Send

Movement Atlas sends two categories of email:

  • Transactional Emails: These are service-related emails triggered by user actions on our platform. They include:
    • Account registration confirmations
    • Password reset and security notifications
    • Booking confirmations and cancellations
    • Class schedule reminders
    • Payment receipts and invoices
    • Account verification and OTP codes
    • Security alerts (new device logins, suspicious activity)
  • Marketing Emails: These are promotional communications sent only with explicit opt-in consent. They include:
    • New feature announcements
    • Special offers and promotions
    • Platform updates and newsletters
    • Event invitations

Consent and Opt-In

We obtain explicit, affirmative consent before sending marketing emails. During registration, users have a separate, optional checkbox to consent to marketing communications. This checkbox is not pre-checked and is not required for account creation. Users can withdraw consent at any time through their email preferences page, dashboard notification settings, or by clicking the unsubscribe link in any email.

Sender Identification

Every email we send clearly identifies Movement Atlas as the sender. Our emails include:

  • A recognizable "From" name: "Movement Atlas"
  • A valid reply-to email address
  • Our physical mailing address in every email footer
  • Accurate, non-deceptive subject lines that reflect the email content

Unsubscribe Mechanism

In compliance with CAN-SPAM and international anti-spam laws, every email we send includes:

  • A clearly visible "Unsubscribe" link in the email footer
  • A "Manage email preferences" link to granularly control notification types
  • A List-Unsubscribe email header for one-click unsubscribe support in email clients
  • Unsubscribe requests are processed within 24 hours (well within the 10-business-day CAN-SPAM requirement)

Bounce and Complaint Handling

We maintain rigorous bounce and complaint handling to protect our sender reputation and your inbox:

  • Hard Bounces: Email addresses that permanently fail delivery are immediately added to our suppression list and will never be emailed again.
  • Soft Bounces: Temporary delivery failures are retried a limited number of times. After repeated failures, the address is suppressed.
  • Spam Complaints: If a recipient marks our email as spam, their address is immediately and permanently suppressed from all future communications.
  • Bounce Rate Target: We maintain a bounce rate below 2% (well within SendGrid's recommended threshold of 5%).
  • Complaint Rate Target: We maintain a complaint rate below 0.05% (well within SendGrid's recommended threshold of 0.1%).

Email Authentication

We implement industry-standard email authentication protocols to prevent spoofing and phishing:

  • SPF (Sender Policy Framework): DNS records authorizing our email servers to send on behalf of our domain.
  • DKIM (DomainKeys Identified Mail): Cryptographic signing of all outgoing emails to verify authenticity.
  • DMARC (Domain-based Message Authentication, Reporting & Conformance): Policy enforcement and reporting to prevent unauthorized use of our domain.

Monitoring and Reputation

We actively monitor our email sending practices using:

  • SendGrid reputation dashboard for real-time bounce and complaint metrics
  • SendGrid Event Webhooks for automated bounce and complaint processing
  • SendGrid Alerts for reputation threshold monitoring
  • Regular list hygiene and suppression list maintenance

What We Will Never Do

  • We will never purchase, rent, or borrow email lists
  • We will never send emails to recipients who have not opted in
  • We will never use deceptive subject lines or misleading header information
  • We will never hide the unsubscribe mechanism in our emails
  • We will never sell or share your email address with third parties for their marketing purposes
  • We will never ignore unsubscribe requests or make unsubscribing difficult

Platform User Obligations

Businesses and instructors who use the Movement Atlas platform to communicate with their students must also comply with all applicable anti-spam laws. Our platform enforces:

  • Communications are limited to users who have an existing relationship (enrolled students, booked participants)
  • All platform-sent communications include proper unsubscribe mechanisms
  • Message content is monitored for compliance with our acceptable use policy
  • Abuse of the communications system results in immediate account suspension

Reporting Spam

If you believe you have received an unsolicited email from Movement Atlas or through our platform, please report it to [email protected]. We take all spam reports seriously and will investigate within 48 hours.
